This notice explains how personal information is handled when you use this website or contact us about Obsidian Oil products. We follow the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Who we are
Obsidian Oil products are distributed by Moore Lubricants, which handles enquiries, quotations and accounts. For any privacy question, email sales@moorelubricants.co.uk.
What we collect
- Details you give us in an enquiry, account application or Trade Hub sign-up: your name, business name, email address, telephone number, postcode, type of business, the volume and grades you use, and what you need.
- Supplier quotes or invoices you choose to upload to the Trade Hub, and the prices you tell us you pay. We use these only to prepare a competing quote for you and do not share them with anyone else.
- Your email preferences, and an opaque campaign reference if you arrive from one of our messages. Campaign references identify the message, not you, and never contain personal details.
- Vehicle registrations entered into the oil finder. These are sent to the DVLA Vehicle Enquiry Service to return the make, year and fuel type, and are not stored by us.
- Basic technical logs kept by our hosting provider, such as IP address and pages requested, for security and to keep the site running.
How we use it and our lawful basis
We use your details to answer your enquiry, prepare quotations, open and run trade accounts, and keep records we are legally required to keep. Our lawful bases are taking steps at your request before entering into a contract, performing a contract, legal obligation, and our legitimate interest in running and securing our business. We do not sell your data or use it for third-party advertising.
If you tick the box to receive price and market updates, we will email you about them on the basis of your consent. You can withdraw it at any time using the unsubscribe link in any email or by contacting us.
Who we share it with
Our website host, our email provider (which delivers Trade Hub sign-ups and quotes to our sales team and sends you an acknowledgement), the system that holds our contact records, our internal team chat (a short notification of each new enquiry), the DVLA (for registration lookups only), carriers delivering your orders, and our accountants and professional advisers where needed. Some of these providers may process data outside the UK under appropriate safeguards.
How long we keep it
Enquiries, Trade Hub sign-ups and uploaded supplier quotes that do not lead to an account are deleted after 24 months. Account and invoice records are kept for six years after the end of the relevant financial year.
Unsubscribing
You can stop marketing messages at any time on our unsubscribe page or change what we send on the preferences page. One request applies to both email and WhatsApp.
Your rights
You can ask for a copy of your data, or ask us to correct, delete or restrict it, or object to how we use it. Email us to make a request. You can also complain to the Information Commissioner's Office at ico.org.uk.
